The Registrar bears the ultimate responsibility for the operation and functioning of the University Registrar’s Office. This includes, but is not limited to employee and budget management, annual planning, representation on University committees and task forces. Additionally, the Registrar is responsible for understanding and applying legal and governmental regulations, such as FERPA, as they apply to student records and academic policies.

The Operations Associate Registrar is responsible for transfer evaluation processes as well as degree audit processes, maintenance and procedures. This Associate role supervises a staff of five Student Academic Specialists. The Operations Associate Registrar understands and applies FERPA standards and can clarify FERPA to the broader university community.

Assistant Registrar – Systems
The Systems Associate Registrar is responsible for managing the Datatel Colleague system procedures and documentation, and is the primary liaison with OIT on issues related to the operation and customization of the Colleague system. Additionally, this role fulfills all Clearinghouse obligations and processes subpoena requests and Solomon Act requests. The role supervises the Scheduling and Course Information Specialist, the Academic Administrative Assistant, the Records Administrative Assistant, the Records Specialist and the Enrollment Services Representative. The Systems Associate Registrar understands and applies FERPA standards and can clarify FERPA to the broader university community.
Student Academic Specialist Staff
The Student Academic Specialist Staff serve as a policy expert and resource for students and faculty regarding academic requirements for both undergraduate and graduate degrees. Additionally, Specialists process requests for change of majors, declaration of minors, and evaluate applications for graduation.
The Specialists are available for student walk-in appointments during Fall quarter 2009 on Monday and Tuesday from 1:30 p.m. through 6:00 p.m. and Wednesday through Friday from 1:30 p.m. through 4 p.m., as well as via e-mail/phone/or other pre-arranged appointment times during other office hours. Throughout the academic year, the Specialists attend various orientation and transfer student events and workshops to assist students in their degree progress.

The Scheduling and Course Information Specialist manages the Quarterly Schedule of Classes, which includes working with faculty to develop the schedule for days, times and room assignments.

The Academic Records Specialist manages transcript requests, diplomas, and enrollment verifications for undergraduate and graduate students (except Law School students). Supervises work study students and maintains permanent record organization and filing for the Office of the Registrar.

The Front Desk Staff serves as the primary walk-up, telephone, and email contact for faculty, staff, students, and the public.

The Communications Representative maintains the Office of the Registrar Knowledge Base, processes various forms and letters, and serves as back up for the Scheduler and Academic Records Specialist. Each winter, this position assists the Associate Registrar for Operations and the University Registrar with the annual update of the Bulletin of Information.

The Registration Representative processes all current quarter withdrawals, petitions related to registration, independent study and internship requests, hardship withdrawals, and manages all faculty roster check follow-up activity.

Office Administrative Assistant
The Office Administrative Assistant supports the University Registrar by maintaining the Registrar’s appointment calendar, and typing and disseminating memoranda and other communications; and supports the office by managing supplies and invoices and supporting office staff as needed.
